This notice explains what personal data we hold, why we hold it, how long we keep it, and what you can ask us to do about it. It covers people who contact us, our clients, and businesses we contact by telephone or email as part of our own marketing.

If we telephoned you

We make business-to-business telephone calls to UK companies to offer web design services. If you received a call from us, this section is the one that applies to you.

Calls are recorded and transcribed

We record our outgoing business calls, and we produce written transcripts of them. We use the recordings and transcripts to confirm what was agreed, to check the quality and accuracy of what our callers say, to resolve disputes about work or payment, and to train the people who make the calls.

If you would prefer not to be recorded, say so on the call and we will stop the recording or end the call, whichever you prefer.

Where we got your details

We do not buy marketing lists. Business contact details come from publicly available sources: company websites, publicly listed business directories and Google Business Profiles, and the public register at Companies House. Before calling, we screen numbers against the Telephone Preference Service and the Corporate TPS, and we do not call numbers that are registered.

Our lawful basis

We rely on legitimate interests (UK GDPR Article 6(1)(f)) to contact businesses about services relevant to them, and to record and transcribe those calls for the reasons above. We have carried out and documented a legitimate interests assessment weighing this against your rights. You can object at any time, and we will stop.

People outside the UK may hear your call

Some of the people who make calls on our behalf, and who may listen back to recordings, are based outside the United Kingdom. They act only on our instructions and are bound by a written contract covering confidentiality, security and deletion. Where they are outside the UK, that contract includes the UK International Data Transfer Agreement with the Information Commissioner's Office Mandatory Clauses, which is the safeguard required by UK GDPR Article 46.

What we hold, and for how long

DataWhyKept for
Business name, address, phone number, website, and where a name is publicly listed, the contact name To contact you about our servicesUntil you ask us to stop, or the record is no longer useful
Call recordingsConfirming what was agreed, quality checks, disputes12 months, then deleted
Call transcriptsCoaching, reviewing patterns, evidence in a dispute12 months, then deleted
Call record: who called, when, and the outcomeBusiness record, and so we do not call you again in errorKept as a business record
Do-not-call and unsubscribe requestsSo we can keep honouring your requestKept indefinitely, and never deleted
Emails you send us, and our repliesAnswering you and keeping a record of what was agreedWhile we are in contact, and for our business records afterwards
Contact form submissionsResponding to your enquiryWhile we are in contact, and for our business records afterwards

Why we keep do-not-call requests forever. It sounds contradictory to keep data about someone who asked us to stop. It is the only way to be certain we never contact you again. We keep the minimum needed to recognise you and nothing else.

Who else handles it

We use a small number of service providers who process data on our instructions:

We do not sell personal data, and we do not share it for anyone else's marketing.

Your rights

Under UK data protection law you can ask us to:

Email hello@lunova-design.co.uk and we will respond within one month. There is no charge. If you simply want us to stop calling or emailing, say so in one line and that is enough — you do not need to give a reason or quote any law.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the UK regulator, the Information Commissioner's Office, at ico.org.uk or on 0303 123 1113.

Cookies

This website does not set advertising or analytics cookies, and does not track you across other sites. If that changes we will ask for your consent first and update this notice.

Changes

If we change how we handle personal data we will update this page and change the date at the top.
